Payments have to be done in EUROS/€  Other currencies will not be accepted neither cheques neither credit card payments. All bank costs for international bank transfers are to be supported by the participant. Will be accepted BANK TRANSFER ONLY.
 

  • At payment please indicate clearly name, surname and complete address with country . 

  • IMPORTANT: respect the dates for EARLY BIRD was till April 15/ REGULAR from April 16  till May 31, 2023.

  • The amount for the Main Programme (June 5 till June 9) includes: MEET & GREET reception June 5, LECTURES June 6,7,8; VISITS June 6,7,8,9 ;LUNCH June 6,7,8,9; DINNER at Vrijbroekpark 

  • The payment for the CLOSING DINNER June 9 is 80€ per person

  • Payment at the event is not possible

  • Pre-tour and Post-tour are for limited numbers. Once the limit reached, the registration will be closed. (Post tour is already fully booked, no registrations possible anymore).

CONFIRMATION: you will get immediately the ticket via Eventbrite confirming your registration is received. And once a week -on Tuesday - we will send personalized emails via rosabelgica2023@gmail.com to fix all the details with you. Do not hesitate to ask your questions on same email.

 

Cancellation and Refund Policy:

E-mail requests received on or before 31th December 2022 shall be processed with 50% of the amount paid.
E-mail requests received after 1st January 2023 shall not be processed.

E-mail requests to be made at email : rosabelgica2023@gmail.com               

    NB: It is advisable to attach registration confirmation in the e-mail.
Refunds, if justified and following the refund policy, would be processed and remitted one month after the conference 

 

Whilst we continue to monitor the situation over the coming months leading up to the Conference, we assure you that the safety of attendees is our main priority, and we will be working with the venue and suppliers to ensure all the latest guidelines and safety procedures are adhered to. In case of "cas de force majeure", if the Belgian state is not allowing the event for specific reason, the event is unable to proceed in-person, due to a pandemic (COVID-19 or anything else) which results in restrictions, lockdowns or closed borders that are put in place by the Government, the event will be postponed to another date.

For any accommodation bookings our Delegate Services Team will contact the hotel and put in a request for cancellation, however the cancellation will be at the discretion of the hotel.  Whilst most accommodation and airline providers have been flexible in this current climate, we recommend that delegates understand their airline cancellation policies before committing to flight bookings.

Liability

The Organising Committee take no responsibility for injury or damage to persons or property occurring during the convention. All insurance, including medical cover, or expenses incurred in the event of the cancellation of the Convention is the individual delegate’s responsibility. Attendees are encouraged to choose a travel insurance policy that includes loss of fees/deposits through cancellation of your participation in the Convention, or through the cancellation of the Convention itself, loss of airfares for any reason, medical expenses, loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The Organising Committee will take no responsibility for any participant failing to take out insurance.
